Agreements screen in billWright

The Agreements screen lives at Clients > Agreements and tracks your recurring maintenance contracts. A summary bar at the top shows the total number of active agreements and their combined annual value.

View your agreements

  1. Navigate to Clients > Agreements from the main menu.
  2. Active agreements appear first in the grid, sorted by upcoming visit date. Inactive agreements follow.
  3. Each card shows the agreement name, the linked client, visit frequency, billing type, the annual contract value, and the date of the next scheduled visit.
  4. Cards marked Inactive display a grey pill label; active ones show a green Active pill.

Create a new agreement

  1. Click New agreement in the top-right corner of the screen.
  2. In the modal that opens, choose a client from the Client dropdown, or leave it set to - No client - if the agreement is not yet linked to a client.
  3. Enter a descriptive Name (for example, "Quarterly HVAC maintenance").
  4. Select a Visit frequency from the dropdown.
  5. Select a Billing type from the dropdown.
  6. Enter the Price per visit.
  7. Optionally enter an Annual price to override the value that would otherwise be calculated automatically from the per-visit price.
  8. Set a Start date (defaults to today).
  9. Optionally set an End date if the contract has a fixed term.
  10. Optionally add Notes.
  11. Leave the Active checkbox checked to mark the agreement as active immediately.
  12. A schedule preview panel below the form projects upcoming visits and billing once a valid start date is entered.
  13. Click Create to save the agreement.

Edit an existing agreement

  1. Click any agreement card in the grid.
  2. The same form opens, pre-filled with the saved values.
  3. Update any fields as needed.
  4. The schedule preview updates to reflect your changes.
  5. Click Save to apply the changes.

Deactivate or reactivate an agreement

  1. Open the agreement by clicking its card.
  2. Uncheck the Active checkbox to deactivate, or check it to reactivate.
  3. Click Save.
  4. The card will move to the end of the grid and display the Inactive pill after the next page load.

Delete an agreement

  1. Open the agreement by clicking its card.
  2. Click the Delete button in the lower-left corner of the modal.
  3. Confirm the deletion when prompted.

Understanding the schedule preview

Once you enter a start date, the preview panel inside the form projects:

  • The estimated number of visits within the first year.
  • The next scheduled visit date.
  • The calculated annual value.
  • Projected billing entries.

If the end date is set to a date before the start date, the preview shows an error and no schedule is projected until the dates are corrected.
